1 - Super Admin Account
- Super Admin account shall not be restricted by any permissions. With that being said, it has the highest access to every module and function.
- Super Admin username is solely for login purposes, thus it cannot be used to compose an outgoing email or receive incoming emails.
- The password shall be given to you and you are advised to change it from time to time to secure your account.
- Xilinx Support Team does not store nor hold your password without your acknowledgment and agreement.
2 - Creating a new staff account
- Only Super Admin has the privilege to Create, Update or Remove a username.
- Go to [User Management] -> [Create New User].
- You will have the option to choose either [Mobile Number] or [Email] as a new username. The password will be given via this contact as per username.
- Assign a user group to the new account -> Save.
Alternatively, you can also create the new user on [WebApp Portal] -> [User Management]. Go Now.
3 - User List
- Using your Super Admin account, go to [User Management] -> [User List].
- This is where you can view all the usernames registered under your company.
Alternatively, you can also update the user list on [WebApp Portal] -> [User Management]. Go Now.
4 - Set Up Biometric Enrolled
- Please make sure that you have the biometric device ready and installed on your machine.
- Using your Super Admin account, go to [User Management] -> [User List].
- Select the user that you want to set up the biometric.
- Click the [+] logo under No Biometric Enrolled.
- Place the user's finger when the thumbprint scan image is shown.
- Repeat 4 times by following the screen instruction until it shows Finger Print saved.
5 - User Group Permission
What is User Group Permission?
The permission in the Xilnex system is not controlled based on one (1) user. Instead, we can set the permissions based on the entire user group.
Example:
User Group Permission: Cashier
Permission Name: Does Not Allow To Cancel Sales.
Username: Ali
User Group: Cashier
Ali, whose account is under the user group Cashier, shall not have permission to cancel sales in Xilnex System.
How to Setup A New User Group
- Using your Super Admin account, go to [User Management] -> [User Group].
- In the empty text field, enter the name of the user group and click on the plus button.
- Head to [Group Permission] in the left pane and select the user group which you have just created.
- Look for the permission setting under the certain category -> adjust the permission -> Save.
Alternatively, you can also update the user group permission on [WebApp Portal] -> [User Management].
6 - Change Password/Forget Password
Password can be changed through the application User management page [Change Password]. Alternatively, you may also perform this on Xilnex WebApp.
Frequently Asked Questions
Can I use another account other than the Super Admin account to create a new user?
No. Please use the Super Admin account for user management including the user group permission setting.
Do I have to use email or mobile number only as a username? Is there any alternative?
For the time being, you can only use a valid email or mobile number for user creation.
Is there a way I could set a minimum requirement for Xilnex Password, like at least a special character in my password?
You may configure the password policy in Xilnex Portal.
Can I set up a user account in the WebApp Portal?
Yes, You can set up a user account in the WebApp Portal. Please visit [WebApp Portal] -> [User Management]. Go Now.
Can I check the user list or User Group Permission in the WebApp Portal?
Yes, You can check/edit the user list and User Group Permission in the WebApp Portal. Please visit [WebApp Portal] -> [User Management].
UPDATES: We have already removed this feature from WebApp, please try it on Xilnex Portal.
Can I create user B account in Outlet A?
Yes, configure the [Allowed Outlet] in the permission control.
Can I use Biometric Enrolled and Magnetic Card Enrolled without the devices?
No, You will need to purchase the devices from Xilnex to use this function. Please send us an inquiry if you're interested in this.
Can I set up Biometric Enrolled and Magnetic Card Enrolled in the WebApp Portal?
No, The biometric and magnetic card only can be set up in [Xilnex RetailPOS].
Can I change the password without internet connection?
No, Internet connection is required to change the password.
Common Issues & Troubleshooting
I failed to create a new account for my staff. It says the user may have already existed but I couldn't find on my user list.
- Restart Xilnex RetailPOS Application and try again.
- Alternatively, you may try using Xilnex Portal to create the user.
- If the error persists, most likely this username is registered in another company. Kindly advise the staff to reach out to the previous company for removal.
- May consider creating a new email for registering it as the username in Xilnex.
